The General Secretary's Office is responsible for a range of administrative processes related to student records, including: enrolment on undergraduate and postgraduate programmes; grants and scholarships; processing and issuing of official certificates; course and credit recognition and adaptation; student transcripts and records; and the recording of official submissions and communications to the University.

Student fees

The Student Administration Service manages issues related to student fees and other financial matters concerning student enrolment. The Service also issues receipts and financial certificates and administers requests for invoices, insurance cover for the continuation of studies, and changes to bank details, amongst other procedures. In this respect, all students should be aware of the University's Administrative and Financial Regulations.

Undergraduates

Enrolment for students entering the first year of a degree course is done through the new student intranet. For more information go to the Admission Process. If you have studied in a foreign system (as long as it has been studied outside Spain), please follow the instructions of the admission process for international students.

Credit recognition

Students applying for undergraduate or postgraduate degree programmes at CEU UCH may request credit recognition for educational activities undertaken previously at other institutions.

Such requests must be submitted to the General Secretary's Office when the students enrol. Students must submit the application form, together with an academic transcript (either an original transcript or a copy certified by a notary) detailing the previous studies undertaken and the grades achieved. The student must also supply photocopies of the course guides or programmes for the courses concerned, stamped by the corresponding university (PDF versions of these documents are acceptable if these are sent directly by the university concerned).

The deadline for applications is 30th September.

Do you need a transcript of records?

If you require a document certifying that you are enrolled at the university or concerning some other aspect of your academic record, write to [email protected]

Please note:

  • Time for processing requests. You will be provided with the document you have requested within 10 working days after paying any necessary fees. Please bear in mind that if you submitted your request over a weekend or on a public holiday, the period will begin on the next working day.
    No transcripts, documents concerning student records or degree certificates are issued during the month of AUGUST.
  • Document verification codes. The CEU Cardenal Herrera University issues a wide range of documents which are digitally signed. To verify the authenticity of these documents, you should check the details included on them and then the verification code they contain via the following link: document verification
  • Paper documents. Recognition of your qualification abroad. Transcripts and other such documents are issued in a digital format (including a digital signature and a verification code). However, if you need a hard copy of the document with the University's letterhead, then you should state this in the comments section (observaciones) when requesting the document online.
  • Fees. The fee for the issue of a transcript in a digital or paper format is 28 euros. Those who are members of a large family (familia numerosa, as defined in Spanish law) can benefit from a 50% reduction of this fee. To request such a reduction, write to [email protected] before requesting your document. The online platform cannot process fee reductions.
  • Data protection. Hard copies of transcripts can only be issued to the student concerned or a duly authorized person.

It may take some time to collect the necessary information to issue these documents and so it may not be possible to do so more quickly than the maximum time period indicated above. The University will, however, do everything it can to issue documents as soon as is possible. If you need to submit the document to support an application made to an external organization and the deadline is imminent, remember that, according to Spanish law, you have up to ten working days to modify or complete such an application after it has been made. You could also submit the document (resguardo) demonstrating that you have requested the relevant record from CEU UCH and the receipt issued for paying the corresponding fee.

Requests for undergraduate degree certificates

Before requesting your degree certificate, please bear the following in mind:

  • IMPORTANT: Once you have paid the fees for the certificate, this means that you have formally completed your studies for the degree and so your student record is then closed. Therefore, you will no longer be able to undertake external practical training or placements as part of the educational training agreements that the CEU Cardenal Herrera University possesses with other organizations.
  • The process may take a not inconsiderable amount of time, as the University must liaise with Spain’s Ministry of Education and the company responsible for producing the certificate.
  • Graduates will be provided with two documents: firstly, you will receive a provisional certificate (Certificado Sustitutorio del Título). This is valid for up to twelve months, during which period it has the same validity as the definitive degree certificate (Título Universitario). After a few months, this definitive certificate will be issued and the General Secretary’s Office will notify you when it is available for collection.
  • In addition, you will also be provided with a European diploma supplement, free of charge, together with the definitive certificate.
  • The application process is online only. Therefore, it is especially important that you provide your personal details correctly, especially your email address. Please also ensure that your postal address is up to date: if possible, this should be your family address or main address.

Fees

The following fees are applicable for the issue of degree certificates.

  • In the case of older certificates corresponding to degrees completed before the Bologna reforms (títulos de licenciado, diplomado, ingeniero técnico or arquitecto): 198 euros.
  • For post-Bologna process degrees (grado, the usual case for recent graduates), issued with the European diploma supplement: 258 euros.

Requests for certificates for CEU UCH-specific study programmes

Once the student has completed the study programme, and the official student records have been signed and sealed, he or she can then request the certificate via the intranet. Spanish students must upload a copy of their DNI card. Foreign students must upload a copy of their national identity card, NIE card, or their passport.

The student will receive a digital version of the certificate via email within one month of submitting the request. A hard copy of the certificate will also be made available. This can be collected by the student upon presentation of appropriate ID (as detailed above) or by a person who presents a signed authorization and appropriate ID.

Requests for doctoral degree certificates

Requests for doctoral degree certificates are administered by CEINDO (CEU Escuela Internacional de Doctorado). Write to CEINDO at: [email protected]

Collection of certificates

Certificates can collected from any of CEU UCH's three campuses. However, unless the student specifically requests otherwise, the certificate will be made available for collection on the campus on which the student has studied or on which the programme coordinator is based.

The General Secretary's Office notifies students by email when the certificate is available for collection. Students can collect their certificate upon producing valid ID (DNI, passport, driving licence, etc.).

They may authorize another person to collect via a power of attorney.

Alternatively, you can authorize another person to collect by filling in this authorization form.

- If you live outside the Valencia region or abroad, you can request for your certificate to be sent to the nearest Spanish government office (Delegación del Gobierno), embassy or consulate. To request this, contact the certificates unit at ([email protected]) You will need to pay for shipping, which costs 20 euros.

- Please note that there are regulations in place which enable CEU UCH to refuse to issue certificates if the student has outstanding debts.

Duplicate certificates

If you lose your certificate, you can submit a request to the General Secretary's Office for a duplicate to be issued. In the case of a bachelor's, master's or doctoral certificate, you will need to pay the fee for an announcement to be made in Spain's official gazette, the Boletín Oficial del Estado (the University will arrange this for you). Legislation requires a minimum of 30 days to pass between the publication of the announcement and the issue of the duplicate certificate.

If you wish to request a duplicate so that a mention or specialism can be added to the certificate, you must submit the original certificate to the General Secretary's Office and provide evidence justifying the modification of the certificate.
